With Q4 winding down, SurePoint Bookkeeping Services outlines the five recordkeeping tasks that determine whether a home service business hands its CPA organized books or a repair project this tax season.

For home service business owners running crews and managing suppliers, bookkeeping is usually the task that gets deferred until it becomes a crisis. By October, that deferral has a real cost attached to it. SurePoint Bookkeeping Services, LLC, a remote QuickBooks Online bookkeeping firm based in Greater Charlotte, is releasing its Q4 2026 year-end readiness guidance identifying five financial recordkeeping priorities that, when left unaddressed, routinely delay tax filings, trigger CPA callbacks, and leave business owners working from numbers that don't reflect reality.

The Five Year-End Recordkeeping Priorities

  1. Reconcile bank and credit card accounts through September. Reconciliation compares what QuickBooks Online shows against what the bank actually processed. When accounts haven't been reconciled in months, the books accumulate duplicate entries, missing transactions, and bank fees that never got recorded. A profit figure built on unreconciled accounts isn't a profit figure. It's a guess. Getting accounts current through September means there's still time in Q4 to investigate and correct what gets surfaced, rather than discovering problems in February when the window for clean fixes has closed.

  2. Review how owner activity has been categorized. Owner draws, capital contributions, loan proceeds, and transfers between personal and business accounts require specific treatment inside QuickBooks Online. When a loan deposit gets categorized as revenue, the income statement overstates what the business actually earned. When an owner's draw gets treated as a business expense, the profit and loss report understates profitability. These aren't minor line items in most home service businesses. They're often among the largest individual transactions in the records, and misclassifying them creates a distortion that compounds every month it goes uncorrected.

  3. Collect contractor payment records before the year closes. Businesses that paid independent contractors $600 or more during 2026 are required to issue Form 1099-NEC by January 31, 2027. Issuing that form requires each contractor's legal name, current address, and taxpayer identification number, typically collected through a W-9. Chasing that information in January, after a busy season has ended and contractors have moved on to other work, is a solvable problem only if the window hasn't already closed. The information is easier to gather while the working relationship is still active.

  4. Pull and compare monthly financial reports for the full year. The profit and loss report and the balance sheet should be reviewed together, not in isolation. When what the income statement shows doesn't match what the checking account balance reflects, that gap usually points to an unrecorded expense, a skipped reconciliation, or a transaction that landed in the wrong category. Catching those discrepancies in October leaves time to correct them. Catching them in February means they go to the CPA as-is, and the CPA's time gets spent on cleanup before it gets spent on strategy.

  5. Deliver organized, reconciled records to the CPA, not a starting point. Tax professionals work more efficiently, and more accurately, when the books they receive are already current, categorized, and reconciled. When the records aren't in that condition, the CPA's first task becomes bookkeeping cleanup rather than tax filing, and the cost of that extra time falls on the business owner. Clean records handed off in November or December create room for actual tax planning. Records handed off as a project in March don't.

Why This Matters for Businesses Using Field Management Tools Home service businesses that use platforms like Jobber or Housecall Pro to track jobs need the revenue and expense data from those platforms to flow correctly into QuickBooks Online. When the integration isn't set up right, or when transactions are entered manually without consistent categorization, the year-end financials can't answer the question that matters most: which jobs actually made money. A business owner can run a full year of work and still not know whether the highest-volume service line was profitable, because the records weren't kept with that question in mind.

This is one area where having a dedicated bookkeeper changes the picture. It's not just about clean records for tax season. It's about having a monthly view of the business that's accurate enough to use as a decision-making tool.

Catch-Up Bookkeeping and Ongoing Monthly Service SurePoint offers fixed-scope bookkeeping cleanups for home service businesses whose records are months behind, bringing books current before ongoing monthly service begins. From there, monthly reconciliation, transaction categorization, and financial reporting keep the books current month after month. For businesses that already have a CPA but no dedicated bookkeeper, SurePoint fills that gap directly.
